Megaphone and stars – reputation management

Reputation management is not about hiding bad news or buying good reviews. It is about knowing what customers say about you, responding well, and running the business so that what they say is good.

1. Know what people are saying

Check your reviews and mentions regularly: your page comments and reviews, Google, marketplaces, Facebook groups and review platforms. Set aside fifteen minutes a day, or assign one person to it.

2. Reply to every review — especially the bad ones

A good reply to a negative review follows a simple pattern:

  • Thank the customer and apologise for the experience.
  • Show you understand the specific problem.
  • Explain what you will do, and move the details to a private message or call.
  • Follow up, and if the problem is solved, ask whether they would like to update their review.

Never argue in public, share a customer’s private details or accuse them of lying.

3. Fix the cause, not just the comment

If several customers complain about the same thing, the reply is only half the job. Change the supplier, the packaging, the courier or the process. Reputation follows reality.

4. Encourage honest reviews

Most happy customers never write a review unless asked. Ask after every delivery, make it easy, and never offer rewards only for positive ratings.

5. Never fake it

Fake reviews, bought followers and deleted complaints may look good for a while, but customers and platforms notice. On Review Mark, reviews are moderated, and fake or paid reviews are removed and count against a brand.

6. Prepare for a crisis

Decide in advance who replies, how quickly, and what you will say if a serious complaint goes viral. A calm, honest response within hours protects a reputation far better than silence.

7. Show your proof

Independent recognition — verified reviews, certificates and awards — gives customers a reason to trust you that you did not write yourself.

A good reputation is built slowly and lost quickly. The brands that keep it are the ones that treat every review as a conversation and every complaint as a chance to improve.
